Privacy Policy

Article 1. Data Controller

This policy describes the processing for which Webmind is responsible: public site, prospects, accounts and commercial relationship. The data that our clients enter into Flottaris is processed on their behalf, according to the processing contract concluded with them.

Article 2. Processed Data

• Site visitors: technical connection data (IP address, browser, pages consulted) kept in security logs.
• Prospects: name, email address, company, function, fleet size, canton, insurer and message, transmitted voluntarily through site forms. The IP address is kept in a hashed form, to limit abuse.
• Users: name, email address, language, role and connection log.
• Clients: invoicing and payment data. Card data is processed by Stripe and is never stored by Webmind.

Site assistant : Questions asked to the assistant and its answers are retained for 180 days and then deleted automatically. They are linked to a browsing session and an encrypted fingerprint of the IP address, without a cookie. They are used to answer questions and improve the site. If you leave your contact details with your consent, they become part of the contact requests and are retained under this policy.

Article 3. Purposes

• Respond to requests and transmit requested documents.
• Provide the service, manage accounts and ensure security.
• Invoice and collect subscriptions.
• Send the monthly newsletter to people who have signed up. Each sending allows to unsubscribe.

Article 4. Recipients

Your data is neither sold nor rented. It is entrusted to the following providers, only for the needs described: Supabase (data hosting in Zurich), Brevo (email sending) and Stripe (payments).

• Lovable: hosting and delivery of the website and web application, including the hosting provider's own technical visitor measurement, on international infrastructure. Customer data is not stored at Lovable.
• Cloudflare: delivery and protection of the website and the application over a global network. Requests, including the IP address, pass through it. The country where a given visit is processed cannot be determined in advance.
• Webmind Sàrl: internal audience measurement of the public website, without cookies or retention of IP addresses, hosted in Switzerland (Zurich).
• Infomaniak Network SA: antivirus scanning of uploaded files, on a dedicated server in Switzerland. Only the file to be checked is sent to it, and it is not retained.
• Anthropic PBC (United States): generation of answers by the site assistant, and reading of vehicle lists in PDF format that the user chooses to import. The transfer outside Switzerland is governed by standard contractual clauses. Anthropic does not use this data to train its models as part of its commercial API.

Article 5. Transfers Abroad

Data is stored in Switzerland. Stripe may process payment data in the United States. This transfer is governed by standard contractual clauses (art. 16 nFADP).

Article 6. Retention Periods

• Requests and prospects: two years at most after the last interaction, then automatic deletion.
• User accounts: for the duration of the subscription, then 90 days.
• Accounting documents and invoices: 10 years (art. 958f CO).
• Technical logs: the duration necessary for the security of the service.

Article 7. Cookies

The site uses only cookies necessary for its operation: maintenance of the connection session, duration of the demonstration session, choice of language and display theme. No advertising cookies are used.

Article 8. Your Rights

You can request access to your data, its rectification, its erasure, its portability in a common format, and object to its processing, by writing to contact@flottaris.com. We respond within 30 days.

Article 9. Modifications

This policy may be updated. The version in force is published on flottaris.com/confidentialite, with its date.
