Vehicle changes in a fleet policy: what to announce and when
Every entry, exit, plate change, plate deposit or return to service of a fleet vehicle is a change to announce to the insurer. The deadline and form of the announcement depend on the terms of your policy and on your broker; dated proof of each announcement is always useful.
Types of change
A vehicle entering the fleet, an exit, a plate change, a plate deposit, a return to service after deposit. Each one changes the list of covered vehicles, and so the premium.
Data to gather for each announcement
The control plate, the nine-digit matricule key, the chassis number, the effective date and the covers concerned.
These are the data the insurer later matches against its statement.
Deadline and form of the announcement
The deadline and form of announcement are set under the terms of your policy and your broker's practice. Ask them rather than assume a general rule.
Date and keep the proof
Keep the date of each announcement and the insurer's acknowledgement. An acknowledgement that does not arrive should be chased: it proves the change was received.
On the statement, an exit that was not announced shows up as premium charged after the vehicle left.
